Volunteer & Guest Teacher Policy
Guidelines for engaging volunteers and guest teachers at Madinatul Uloom Madrasa & Orphanage in a safe, structured, and professional manner.
1. Purpose
This policy establishes guidelines for the engagement of volunteers and guest teachers who wish to contribute their time, knowledge, or skills to support the mission of Madinatul Uloom Madrasa & Orphanage. The goal is to ensure that all volunteer and guest teaching activities are conducted in a safe, structured, and professional manner while protecting the welfare of students and maintaining the institution’s standards.
2. Definition
2.1 Volunteer
A volunteer is an individual who offers their time or services without regular financial compensation to support educational, administrative, or welfare activities within the madrasa.
2.2 Guest Teacher
A guest teacher is an individual invited or approved by the administration to conduct temporary teaching sessions, lectures, workshops, or special classes.
3. Eligibility
Individuals wishing to serve as volunteers or guest teachers must:
- Demonstrate good moral character and Islamic conduct.
- Respect the mission, vision, and values of the madrasa.
- Possess relevant knowledge or skills beneficial to students.
- Agree to follow all institutional policies and safeguarding guidelines.
Background checks or identity verification may be required when necessary, especially for individuals working closely with children.
4. Application and Approval
All volunteers and guest teachers must be approved by the madrasa administration before participating in any activities involving students. The process includes:
- Submission of a volunteer or guest teacher application form.
- Verification of identity and, where appropriate, background checks.
- Review by the Executive Director or Academic/HR Committee.
- Formal approval before any engagement with students.
Unauthorized individuals are not permitted to conduct classes or activities with students.
5. Roles and Responsibilities
Volunteers and guest teachers may support the institution in areas such as:
- Teaching Islamic studies or Qur’an recitation.
- Assisting with Noorani or Hifz classes under supervision.
- Providing educational workshops, lectures, or skill-building sessions.
- Helping with student activities, mentoring, or enrichment programmes.
- Supporting administrative, welfare, or community outreach programmes.
All activities must be conducted under the supervision of the madrasa administration and in coordination with assigned staff.
6. Safeguarding and Student Protection
Volunteers and guest teachers must strictly follow the Child Protection Policy and Teacher Code of Ethics & Safeguarding Policy. They must:
- Maintain professional boundaries with students at all times.
- Avoid being alone with students in isolated or unsupervised areas.
- Treat all children with respect and dignity.
- Immediately report any safety or safeguarding concerns to the admin.
Protecting the safety and well-being of students is a top priority and a shared responsibility.
7. Supervision
Volunteers and guest teachers will work under the supervision of:
- Executive Director / Principal.
- Academic Coordinator or designated senior teacher.
- Assigned teacher or staff member for specific activities.
The madrasa administration may observe, monitor, or evaluate volunteer and guest-teaching activities to ensure quality, safety, and alignment with institutional values.
8. Code of Conduct
Volunteers and guest teachers must adhere to the following:
- Maintain Islamic etiquette, humility, and professionalism.
- Dress modestly and appropriately according to Islamic standards.
- Respect madrasa rules, schedules, and staff instructions.
- Avoid any form of discrimination, harassment, or inappropriate behaviour.
- Use respectful, positive language and avoid humiliating or harsh speech.
Failure to comply with these standards may result in immediate termination of volunteer or guest-teacher privileges.
9. Compensation
Volunteers normally serve without financial compensation. Guest teachers may, at the discretion of the administration, receive:
- A modest honorarium.
- Travel or related expense reimbursement.
- Institutional appreciation, recognition, or certificates.
Any such compensation will be determined and approved by the madrasa administration.
10. Termination of Volunteer or Guest Teacher Service
The madrasa reserves the right to terminate volunteer or guest teacher participation if:
- Institutional policies or codes of conduct are violated.
- Safeguarding or safety concerns arise.
- The volunteer’s or guest teacher’s services are no longer required or suitable.
Termination may occur at any time to protect the welfare of students and the integrity of the institution.
11. Policy Review
This Volunteer & Guest Teacher Policy will be reviewed periodically by the Executive Committee and Permanent Committee to ensure that it continues to support the madrasa’s mission, uphold safeguarding standards, and align with Bangladesh institutional practices and international nonprofit governance norms.
