1. Purpose

The purpose of this policy is to establish clear guidelines for teacher attendance, leave management, and duty responsibilities at Madinatul Uloom Madrasa & Orphanage. This policy ensures discipline, accountability, and effective academic operations while also supporting the health, family needs, and overall well-being of teachers.

2. Working Hours

Teachers are expected to follow the official madrasa schedule as communicated by the administration. Typical daily responsibilities may include:

  • Classroom teaching sessions.
  • Qur’an memorization supervision (for Hifz programmes).
  • Student revision and listening sessions.
  • Participation in congregational prayers with students.
  • Academic meetings, reporting and institutional activities.

Teachers must arrive before the start of their assigned classes and remain available until their scheduled duties are completed for the day.

3. Attendance Requirements

Teachers must maintain regular attendance and punctuality as part of their professional responsibilities.

Attendance may be recorded through one or more of the following:

  • Manual attendance register or sign-in sheet.
  • Digital attendance system (if implemented).
  • Administrative or supervisory monitoring.

Frequent absence or late arrival without a valid reason may result in counselling, warning, or other disciplinary action in line with institutional HR policies.

4. Teacher Duties

Teachers are responsible for fulfilling the following core duties:

  • Conducting assigned classes according to the approved curriculum.
  • Supervising students during study, revision, and memorization sessions.
  • Monitoring student academic progress, discipline, and Islamic manners.
  • Participating in madrasa meetings, trainings, and educational programmes.
  • Supporting madrasa events, examinations, and institutional activities.

When necessary, teachers may be assigned additional responsibilities by the administration, consistent with their role and capacity.

5. Leave Types

Teachers may be granted the following types of leave, subject to approval and institutional needs:

5.1 Casual Leave

Short-term leave for personal reasons (such as family matters or errands) may be granted as casual leave, with prior approval from the administration. The number of casual leave days per year may be defined by the HR guidelines.

5.2 Medical Leave

Medical leave may be granted when a teacher is unable to work due to illness or medical treatment. For extended medical leave, supporting documentation (e.g., doctor’s note or report) may be required.

5.3 Emergency Leave

Emergency leave may be granted in exceptional situations such as serious family emergencies, bereavement, or other urgent personal matters. Teachers should inform the administration as soon as reasonably possible.

5.4 Annual Leave

Teachers may receive annual leave during official madrasa holidays or scheduled academic breaks, in line with the academic calendar and institutional HR policy.

6. Leave Approval Process

All leave requests must follow the proper approval process:

  1. Submission of a leave request to the administration (written or digital).
  2. Review by the Executive Director or Academic Supervisor.
  3. Formal approval before the leave is taken, where possible.

In genuine emergencies where advance notice is not possible, the teacher must notify the administration at the earliest available opportunity (phone, message, or email).

7. Substitute Arrangements

If a teacher is absent, the administration may make one or more of the following arrangements:

  • Assign another teacher temporarily to cover the class.
  • Adjust the class schedule or combine groups where appropriate.
  • Arrange specific substitute teaching support.

Where possible, teachers taking planned or extended leave should assist in preparing lesson plans or handover notes to support continuity of learning.

8. Unauthorized Absence

Absence without prior permission or without informing the administration is considered unauthorized absence.

Repeated unauthorized absence may result in graduated disciplinary measures, such as:

  • Verbal counselling or warning.
  • Written warning recorded in the HR file.
  • Salary deduction in line with HR and payroll policy (if applicable).
  • Further disciplinary action for ongoing non-compliance.

9. Ramadan Schedule Adjustments

During the holy month of Ramadan, the madrasa administration may adjust:

  • Daily class schedules and duration.
  • Teaching hours and night-time activities (e.g., Taraweeh, extra Qur’an).
  • Student activities to balance worship, rest, and learning.

Teachers are expected to cooperate with any temporary schedule changes and help students maintain a healthy balance of ibadah, rest, and study.

10. Record Keeping

The madrasa administration will maintain accurate records of:

  • Teacher attendance and punctuality.
  • Leave requests, approvals, and types of leave taken.
  • Special duties or additional assignments.

Proper documentation supports fair decision-making, HR planning, and smooth academic operations.

11. Policy Review

This Teacher Attendance, Leave & Duty Policy will be reviewed periodically by the Executive Committee and Permanent Committee to ensure that it remains effective, fair, and aligned with the institution’s mission, HR framework, and Bangladesh institutional practices.
