This policy outlines the roles, responsibilities, employment conditions, and benefits for full-time residential teachers serving at Madinatul Uloom Madrasa & Orphanage. The objective is to ensure high-quality education, teacher welfare, discipline, and adherence to Islamic values while maintaining professional administrative standards consistent with Bangladeshi madrasa practices and modern nonprofit governance.
1. Purpose
The purpose of this policy is to provide a clear and transparent framework for appointing, managing, and supporting full-time residential teachers. It helps protect the rights of teachers, ensures accountability in service, and aligns HR practices with both Islamic values and professional standards.
2. Definition of Residential Teacher
A Full-Time Residential Teacher is a teacher who resides within the madrasa premises and is responsible not only for teaching, but also for supervising students’ daily learning, discipline, and Islamic character development.
Residential teachers play an essential role in maintaining the academic, spiritual, and moral environment of the madrasa.
3. Recruitment and Appointment
3.1 Minimum Qualifications
Noorani Teachers
- Minimum Alim or equivalent Islamic education.
- Strong Tajweed knowledge.
- Ability to teach and manage young students with patience.
Hifz Teachers
- Must be a qualified Hafiz-ul-Qur’an.
- Strong Tajweed and memorization supervision skills.
- Prior teaching experience is strongly preferred.
3.2 Recruitment Process
- Vacancy announcement (internal and/or external).
- Submission of application and supporting documents.
- Shortlisting and interview by the Academic/HR Committee.
- Teaching demonstration in a real or mock classroom setting.
- Background, reference, and character verification.
- Final approval by the Executive Committee.
- Issuance of a formal appointment letter and joining instructions.
4. Roles and Responsibilities
Residential teachers are responsible for upholding both educational quality and Islamic tarbiyah (character building) of students.
Academic Duties
- Teach assigned classes according to the approved curriculum.
- Supervise memorization and revision (Qur’an / lessons).
- Monitor and record student academic progress.
- Prepare, conduct and mark regular assessments and exams.
Student Supervision
- Ensure discipline and Islamic manners inside and outside class.
- Supervise boarding students during allocated duty hours.
- Ensure attendance in Salah and madrasa activities.
- Support moral and spiritual development of students.
Institutional Responsibilities
- Participate in staff meetings and training sessions.
- Assist in madrasa programs, events and examinations.
- Support development, fundraising, and outreach activities when asked.
5. Working Schedule
Residential teachers must follow the official madrasa class schedule and duty roster. They are expected to maintain punctuality and availability during madrasa operational hours.
Typical daily duties may include:
- Early morning supervision and Qur’an recitation after Fajr.
- Teaching during official class blocks.
- Supervising student revision sessions (daytime or evening).
- Participating in congregational Salah with students.
- Evening/hostel supervision as per duty roster.
6. Salary and Benefits
Full-time residential teachers will receive compensation and benefits approved by the madrasa management, subject to budget availability and performance.
6.1 Salary
- Monthly salary approved by the Executive Committee.
- Salary determined based on qualification and experience.
- Reviewed periodically subject to institutional capacity.
6.2 Residential Benefits
- Accommodation within madrasa premises (shared or individual room).
- Daily meals or food allowance/support.
- Utilities support (e.g., electricity and water where applicable).
- Access to madrasa facilities and resources.
6.3 Additional Benefits (Where Possible)
- Annual performance-based increment.
- Eid bonus as decided by the Executive Committee.
- Professional development and training opportunities.
- Access to teaching and educational support materials.
7. Madrasa Holidays
The madrasa will observe holidays in line with Bangladesh Qawmi madrasa practice and institutional needs.
7.1 Major Islamic Holidays
- Eid-ul-Fitr holiday (as per moon sighting and internal schedule).
- Eid-ul-Adha holiday (as per moon sighting and internal schedule).
7.2 Ramadan Schedule Adjustment
- Academic class hours may be shortened or adjusted.
- Greater focus on Qur’an recitation, Tarawih, and spiritual activities.
7.3 Annual Madrasa Vacation
- An annual break (typically around 10–15 days) may be granted according to the academic calendar.
- Exact dates will be decided by the Executive Committee and announced in advance.
7.4 Emergency Holidays
- Natural disasters or severe weather.
- Public health emergencies.
- Government directives or security concerns.
8. Leave Policy
Residential teachers may apply for leave under the following categories. All leave must be applied for in writing and approved by the madrasa administration.
8.1 Casual Leave
Short-term leave for personal matters, subject to prior approval and ensuring class/boarding arrangements.
8.2 Medical Leave
Leave due to illness or medical treatment, with notification and supporting documents where reasonably possible.
8.3 Emergency Leave
Urgent family or personal situations; administration may ask for supporting information after the emergency.
9. Teacher Performance Evaluation
Residential teachers will be evaluated periodically based on:
- Quality of teaching and lesson preparation.
- Student academic and Qur’an memorization outcomes.
- Discipline, punctuality, and professionalism.
- Participation in madrasa programmes and teamwork.
Outstanding performance may result in recognition, additional responsibilities, or incentives, subject to institutional capacity.
10. Code of Conduct
All residential teachers are expected to uphold a high standard of Islamic ethics and professional behaviour, including:
- Maintaining Islamic manners, modest dress and appropriate behaviour.
- Treating students with respect, mercy, and fairness.
- Avoiding all forms of physical, verbal, or emotional abuse.
- Protecting the safety, privacy, and dignity of all students.
- Refraining from conduct that harms the reputation of the madrasa.
Violation of these standards may lead to warnings, suspension, or termination, depending on the severity of the issue.
11. Notice Period for Resignation
A full-time residential teacher wishing to resign must:
- Provide written notice at least 30 days in advance.
- Support a smooth transition of classes and boarding responsibilities.
- Return madrasa property (keys, books, records, equipment, etc.).
Failure to provide proper notice may affect the final settlement, references, or re-employment with the institution.
12. Termination Policy
The madrasa administration may terminate employment under circumstances such as:
- Serious misconduct or gross negligence.
- Repeated violation of madrasa rules and policies.
- Persistent failure in teaching or supervision responsibilities.
- Breach of Islamic ethical conduct or criminal behaviour.
- Financial constraints or institutional restructuring.
12.1 Termination Notice
- Standard termination notice: typically 30 days.
- Immediate termination may occur in cases of serious misconduct, abuse, or criminal behaviour as determined by the Executive Committee.
13. Policy Review
This HR policy may be reviewed and updated periodically by the Executive Committee and Permanent (Standing) Committee to ensure alignment with:
- Institutional needs and strategic priorities.
- Changes in national regulations affecting madrasas and nonprofits.
- Best practices in Islamic education and nonprofit HR management.
